1.0     Policy Statement:
The MBL makes available a few winterized cottages or village homes to provide transient housing to new staff.  The guiding principal is to assist in the recruitment of talented individuals to the Laboratory.  Applications for usage up to twelve months initially will be accepted from eligible full-time employees or visiting scientists on sabbatical, but extensions in usage to up to a maximum of thirty-six months will be considered on a case-by-case basis.

2.0     Responsibilities:
The Applicants, the Housing Office, and the CASO have the following responsibilities.

    2.1    Applicants must be year-round employees or visiting scientists on sabbatical at the MBL.

        2.1.1    Submission of the completed housing application will be considered a commitment on the applicant’s part to accept and be financially responsible for assigned housing.

        2.1.2    The available units are all non-smoking and pet free units so the applicants must also comply with these restrictions.

        2.1.3    The applicant is required to submit any requests for extension in usage in writing 60 days prior to their scheduled departure to the CASO office.  If the individual ceases to be an employee or their tenure as a visitor expires they must vacate the assigned housing within 30 days.

        2.1.4    Failure to adhere to housing conditions, timely rental payment, and regulations may result in automatic forfeiture of housing assignment and accommodation.

    2.2    The Housing Office will process all applications on a first come first served basis.

        2.2.1    New employees will be given priority over existing employees.  Applicants will normally be prioritized based on the following levels of full-time employment or status as a visitor;

            o    Track I scientists
            o    Track II scientists
            o    Visiting Scientists on sabbatical
            o    Post Docs
            o    Brown/MBL Graduate Students
            o    Research Assistants and Technicians
            o    Key non-scientific staff

        2.2.2    Full year rentals will be given priority over shorter period rentals.  Off-season partial rentals that do not conflict with peak-season rentals are also high priority. The Housing office will also handle the monthly billing in advance for use of the assigned housing and monitor that the housing unit is properly maintained by the renter.

    2.3    The Chief Academic and Scientific Officer (CASO) will make the final decision in prioritizing applicants if available units are oversubscribed.  The CASO will also review any written requests for extension in usage of housing beyond the initial 12-month maximum and make the final decision regarding any extensions.

3.0    Eligible Housing and Fees
The housing stock available for this program consists of five two-bedroom, winterized cottages. This includes Devils Lane 15A, 17A, 26, 27, and 28.  The rent will cover utilities (phone, internet, electricity & gas services).  A fixed monthly rent will be used for the initial period of use up to the 12 month maximum.  Each fall the MBL establishes fees for all MBL Housing Facilities for the next calendar year so the rate is subject to change.  There will be no refunds for early departures or late arrivals.  If there is any delay in rental payments the MBL reserves the right to deduct the payment directly from the employees pay check.

4.0    Any exceptions to this policy will be made by the CASO and/or the MBL Director/CEO.
